This policy (Privacy Policy) describes the way in which Senet Events Pty Ltd, trading as Senet Events (otherwise referred to as “Senet Events”, “we” or “us”) deals with the information and other data you provide to us as a result of: your purchase from, or other interaction with, Senet Events or our events from time to time; your use of our website or websites from time to time (Website); your use of the Backing the Punt (BTP) conference (BTP Conference) mobile or web application (BTP App); any other dealings between us or the provision of services by us to you. We are committed to ensuring that the personal information we collect is protected and is used, stored and disclosed in accordance with Australian law and this Privacy Policy.
The term ‘personal information’ is defined in the Privacy Act as any “information or an opinion about an identified individual, or an individual who is reasonably identifiable:
whether the information or opinion is true or not; and
whether the information or opinion is recorded in a material form or not”.
Common examples are an individual’s name, signature, address, telephone number, date of birth, medical records, bank account details, employment details and commentary or opinion about a person.
We acknowledge the importance of privacy and customer data security and take seriously our obligations under the Privacy Act 1988 (Cth) (Privacy Act) and the associated Australian Privacy Principles (APPs) and all other applicable law.
Unless otherwise stated, capitalised terms used in this Privacy Policy adopt the same meaning as defined in the Senet Events General Terms and Conditions available on the Website from time to time.
When you register with us for Senet Events’ services, and in any other situations where you provide personal information to us, we may deem your provision of personal information to be consent to Senet Events collecting, using and disclosing your personal information as:
(a) set out in this Privacy Policy;
(b) clearly explained to you at the time when the information is collected from you; or
(c) as otherwise permitted under the APPs.
If you do not agree with the terms of this Privacy Policy, you must not use the Website, BTP App, our Services or otherwise provide us with your personal information (including registering for BTP or any other Senet Events event).
1. INFORMATION COLLECTED AND HOW IT IS USED
The kinds of personal information that we collect from you will depend on the nature of your dealings with us. The information and data about you which we may collect, use and process includes the following:
(a) information that you provide to us by filling in forms on the Website, or any other information you submit to us via the Website, the BTP App, email, or other means, including your name, residential address, job title, organisation, email address, phone number(s), personally submitted preferences, bank account and credit card information (if applicable), or other financial information;
(b) personal preferences and BTP Conference information;
(c) information that we obtain based on your interactions with the Website or BTP App.
2. BTP CONFERENCE
In connection with your:
(a) registration for the BTP Conference via the Website or other means; and
(b) use of the BTP App,
we will collect certain personal information, including your name, email address and company details and your company position, for the purpose of creating and managing your profile and enabling your access to the BTP App.
We will pre-populate a profile for you on the BTP App platform prior to the BTP Conference and invite you to activate your account. This will enable you to access event information, receive program updates, network with other delegates, and participate in interactive event features such as session Q&A.
Your profile information will be visible to other delegates who use the BTP App, depending on your settings and the configuration of the App.
You may choose to add additional information to your profile, such as a profile photo, biography and links to your social media accounts. If you choose to do so, this information will be collected through the BTP App and may also be visible to other users of the App in accordance with your settings.
You must ensure that any personal information you provide is accurate, and that you are authorised to disclose it, so that we may use it in accordance with this Privacy Policy.
We will ordinarily collect your personal information directly from you, primarily through your use of the Website or over the telephone.
3. USE AND DISCLOSURE OF PERSONAL INFORMATION
We may use your personal information together with other information for the purposes of:
(a) processing your ticket to the BTP Conference or other relevant event hosted by Senet Events;
(b) processing your ticket purchase, including card and online payments;
(c) setting up and managing your ticket information;
(d) registering your account and managing your access to the BTP App;
(e) providing you with program updates and important event notifications via the BTP App;
(f) facilitating delegate networking and participation in BTP Conference activities, including submitting questions for sessions through the BTP App;
(g) complying with our legal and regulatory obligations;
(h) creating and updating personal profiles for the purposes of managing your interactions with us, the Website and the BTP App;
(i) conducting customer research, surveys, and analysis;
(j) providing you with marketing information and updates about the BTP Conference or other events that Senet Events might conduct from time to time;
(k) providing it to third party contractors and service providers who help us operate our business or provide a service to you in connection with that business;
(l) providing it to sponsors, who may use it for operational purposes only (unless they obtain your separate consent), for example to provide you with additional information about the event or venue you are attending;
(m) advising delegates of the names, job titles, and companies of other delegates or sponsors attending the BTP Conference or other relevant events operated by Senet Events from time to time;
(n) responding to your enquiries or complaints and establishing, exercising, or defending any legal claims;
(o) determining your liability to Australian GST and other taxes where applicable; and
sharing your personal information within the Senet group of companies (including Senet Events, Senet Legal and Senet Advisory) (Senet Group) for the purpose of cross-promotional marketing of our legal, advisory, training and event services. We will only send you marketing communications where permitted by law, and you may opt out at any time via the unsubscribe link or by contacting us at BTP@senetgroup.com.
Otherwise, we will only disclose your personal information:
(a) where we are required to do so by law;
(b) if the disclosure is permitted under the Privacy Act; or
(c) if you have consented to the disclosure.
We will take reasonable steps to ensure that any personal information we disclose to a third party is protected by that party in accordance with the Privacy Act.
We are entitled to share the information we hold regarding you, including your personal data, with third parties, including the police, in order to comply with our legal and regulatory obligations.
We will only retain your information after your engagement with us ends in accordance with applicable legal and regulatory requirements and this Privacy Policy.

4. USE OF COOKIES
We may use cookies to collect information from your web browser for the purposes outlined above, following your use of the Website. By registering with us or continuing to use the Website, you consent to our use of cookies.
Cookies contain information that is transferred to your computer’s hard drive. They help us to improve the Website and to deliver a better and more personalised service. Some of the cookies we use are essential for the Website to operate.
We may use third parties to place advertisements on the Website. These companies may employ cookies and action tags (also known as single-pixel gifs or web beacons) to measure advertising effectiveness. We ensure that any third parties placing advertisements on our Website are only those who keep any information collected via cookies and action tags completely anonymous.

5. INTERNET-BASED TRANSFERS
Given that the internet is a global environment, using the internet to collect and process personal data necessarily involves the transmission of data on an international basis. Some of the data processors engaged to process personal data may be based outside of Australia.
Such a transfer of data does not take place unless we reasonably believe that the recipient of personal information outside Australia is subject to principles of fair handling that are substantially similar to the APPs or stronger; or the transfer is necessary for the performance of a contract between you and us, or for the implementation of pre-contractual measures taken in response to a request by you; or the transfer is necessary for the conclusion or performance of a contract concluded in your interest between us and a third party; or all of the following apply:
(a) the transfer is for your benefit;
(b) it is impracticable to obtain your consent to the transfer; and
(c) if it were practicable to obtain such consent, you would be likely to give it; or we have taken reasonable steps to ensure that the information which it has transferred will not be held, used or disclosed by the recipient of the information inconsistently with the APPs.
Information posted on bulletin boards or communicated within a social media environment (e.g., LinkedIn, Facebook, X, Instagram, Reddit, WhatsApp, general chat rooms, etc.) and any chat room spaces on the Website (if provided) becomes public information, including within private direct messaging. We cannot guarantee the security of this type of disclosed information.
You acknowledge that you are responsible for the security of and access to your own computer, mobile device or any other device used to access the Website.
6. BTP CONFERENCE APP
If you download, access or use the BTP App, personal information will be collected and processed by us for the purposes of administering the event, facilitating attendee engagement, and improving the BTP App and our services.
We use personal information for the following purposes:
(a) enabling access to event content, schedules and attendee services;
(b) facilitating communication between attendees, speakers, sponsors and exhibitors;
(c) creating and managing attendee networking features, directories and meeting functionality (where enabled);
(d) sending event-related notifications and updates; and
(e) monitoring, analysing and improving App performance, functionality and security.
The personal information processed through the BTP App may include:
(a) Registration and profile information, such as your name, job title, organisation, email address, telephone number, photograph, biography and login credentials;
(b) Event participation information, such as your bookmarks, networking activity, messages sent through the App, survey responses, exhibitor interactions and meeting requests;
(c) Technical information, such as device type, operating system, IP address, app usage data, identifiers, crash reports and analytics data; and
(d) Location information, where you choose to enable location-based features on your device.
Where the BTP App includes networking, messaging, attendee list or exhibitor engagement features, certain profile information that you choose to provide may be visible to other BTP App users, sponsors or exhibitors in accordance with your settings and choices within the BTP App.
The BTP App is provided by Entegy Pty Ltd or its related entities (Entegy). In connection with providing the BTP App and related event technology services, Entegy may process personal information on our behalf to host and store event data, enable BTP App functionality, support agenda management, messaging, networking, notifications, scanning and analytics, provide technical support and troubleshooting, improve platform performance, and maintain the security and integrity of its systems. Entegy may also collect technical, device and usage information generated through your use of the BTP App.
We will retain personal information collected through the BTP App only for as long as reasonably necessary for the purposes set out in this Privacy Policy, including for post-event reporting, legal, regulatory and administrative purposes.

7. DIRECT MARKETING AND OTHER DIRECT COMMUNICATIONS
On occasion, we may use and disclose your personal information to inform you about our products or services (or those of other Senet Group companies), or about promotional Senet Events offerings or activities, which we believe may be of interest or of benefit to you. This may include sending you notifications and updates via the BTP App regarding program changes, reminders, and opportunities to engage with other delegates. We may do this via email, SMS, telephone, mail or notification on your mobile device if you have provided consent for us to do so.
If you have indicated your consent to receive such direct marketing (such as selecting this option on sign-up) (opt-in), you may withdraw this consent at any time by writing to BTP@senetgroup.com.
8. THIRD PARTY LINKS
Our Website and the BTP App may contain links to websites, platforms or services operated by third parties. Those links are provided for convenience only.
We do not control, and are not responsible for the content, security or privacy practices of any third-party websites, platforms or services and we accept no responsibility for them or for any loss or damage that may arise from your use of them. Any personal information collected by a third party through its website, platform or service will be governed by that third party’s own terms and privacy policy.
Any claims you may have in connection with products, services, or content made available through linked websites are claims against the relevant third parties and not the Organiser, and access to any such websites or web services is at your own risk.
The BTP App is provided by Entegy, and your use of the BTP App is also subject to Entegy’s applicable terms and privacy documentation, as amended from time to time.
9. MANAGEMENT AND SECURITY OF PERSONAL INFORMATION
We take reasonable steps to protect the personal information we hold from misuse, interference and loss and from unauthorised access, modification or disclosure.
The steps we take may include, where appropriate:
(a) encryption of personal information;
(b) user access controls and authentication measures;
(c) secure electronic storage and network security protections;
(d) restrictions on access to personal information to authorised personnel, contractors and service providers who require that access for their duties;
(e) confidentiality obligations for personnel and service providers;
(f) procedures for retaining, deleting and securely destroying personal information; and
(g) other technical, administrative and physical security safeguards that are reasonable in the circumstances.
We store personal information in electronic systems owned or controlled by us and with third-party service providers engaged by us. We take reasonable steps to ensure that personal information held by third-party service providers on our behalf is protected by appropriate security measures.
While we take reasonable steps to protect personal information, no method of electronic transmission or storage is completely secure. Accordingly, we cannot guarantee the absolute security of personal information.
We will destroy or de-identify personal information when it is no longer needed for any purpose for which it may be used or disclosed under the Privacy Act 1988 (Cth), unless we are required or authorised by law to retain it.
10. PHOTOGRAPHY, FILMING AND EVENT RECORDINGS
Senet Events may photograph, film, livestream or otherwise record Senet Events. In doing so, Senet Events may collect your image, likeness, voice and other personal information captured in photographs, audio recordings, video recordings and similar media.
By attending a Senet Event, you acknowledge and consent to us collecting and handling this material for Senet Event’s purposes related to event administration, promotion, marketing, editorial, archival, educational and related commercial purposes.
Senet Events may use, reproduce, publish, communicate and otherwise disclose this material in various formats and media, including on websites, social media, livestreams, post-event recordings, promotional materials, newsletters, conference materials, press releases and other internal or external communications.
Where a photograph, audio recording, video recording or other event media contains your personal information, Senet Events will collect, use, store and disclose that personal information in accordance with this Privacy Policy and the Privacy Act
These materials may be made publicly available, including online and may be copied, shared or republished by third parties outside Senet Event’s control.
If you do not wish to be photographed, filmed or recorded, please contact Senet Events before the event or speak to event staff on arrival. Senet Events will take reasonable steps to accommodate such requests where practicable, but this may not always be possible, particularly in relation to general crowd shots, livestreams or incidental background recordings.
11. ACCESS TO INFORMATION
We will take reasonable steps to ensure that the personal information we collect, hold, use and disclose is accurate, complete and up to date.

If your request relates to personal information processed through the BTP App, we may need to liaise with Entegy or another relevant service provider in order to respond to your request.
If you are concerned about how we have handled your personal information, you may make a complaint using the contact details set out above. We will consider your complaint and respond within a reasonable period.
12. CHANGES TO OUR PRIVACY POLICY
We may review, change or update this Privacy Policy periodically and we reserve the right to change the Privacy Policy at any time at our discretion by posting such changes on the Website. This Privacy Policy is specifically designed to evolve to follow any legislative and other legal or policy changes, which may impact our collection and management of your information under this Privacy Policy. We will publish our current Privacy Policy on the Website and any changes will take effect immediately at the time of publication. Your continued use of the Website and/ or the BTP App or our services following publication of any updated Privacy Policy on our Website will be deemed your acceptance of those changes.
We suggest that you review the Privacy Policy published on our Website regularly and remain familiar with its terms.
13. DISCLAIMER
To the extent that this Privacy Policy exceeds the minimum obligations of Senet Events under Commonwealth and State legislation, it reflects our voluntarily self-imposed standards. While Senet Events seeks to meet these voluntarily self-imposed standards, it does not accept liability, to the extent permitted by law, for any loss, liability, cost, expense or damage arising from any failure to comply with those standards.
